EE Business Letters

Vocabulary related to personal business letters

What is a Margin? This is the blank space at the top of your letter. Use a 2- inch top margin.
What is Block Letter style? When all lines of the letter at the left margin.
What is the line spacing for the paragraphs of the letter? The space between lines of text. Use single (1) line spacing.
How many spaces should there be between paragraphs in your letter? 1 blank space. Do this by clicking return twice at the end of each paragraph.
What is the Return Address? A personal-business letter begins with the writer’s address. This is called the RETURN ADDRESS. It includes a line for the street address and a line for the city, state and ZIP code.
Where does the Date go on your letter? Type the date on the line below the return address.
How should you format the Date on your letter? Use MONTH DAY, YEAR format (ex. January 19, 2006).
How many times should you click Return after the Date on your letter? Click RETURN 4 times (this creates 3 blank lines or a quadruple space) after the date.
What is the LETTER ADDRESS? The name and address of the person to whom you are writing
What is the SALUTATION? This is a greeting, Type such as Dear Mr. Schaefer. It is typed after the letter address.
What is the BODY of the letter? This is the paragraphs or message part of a letter.
What is the COMPLIMENTARY CLOSE? This is the farewell part of the letter, for example – Sincerely, - is often used.
Where do you type the WRITER'S NAME? This is typed after the 3 blank lines below the complimentary close.
What are REFERENCE INITIALS? The initials of the typist.
What do you do if you have something other than the letter being sent? – If another document is attached to the letter, the word Attachment is typed a double space below the preceding letter part. If the additional document is not attached (ex. stapled), then the word Enclosure is used.
