| Letterhead | Name & address of person sending letter |
| Date | Always spell out -(December 2, 2011) |
| Inside Address | Includes the name, title, company and address of the person RECEIVING the letter. |
| Greeting or Salutation | A greeting used in a letter or other written communication |
| Body | The 'meat' of a letter, should be at least two paragraphs long. |
| Closing | Capitalize the first word only and leave four lines between the closing and the sender's name for a signature. |
| Signee’s Name | Sender's name typed out |
| Business Letter | Used to convey a message. |
| Typist’s Initials | Used to indicate the person who typed the letter, always lower case. If you typed the letter yourself, omit the typist initials. |
| Enclosure or Attachment Notation | Something else is in the envelope with the letter or something has been stapled or paper clipped to the letter. |
| Copies Notation | A way of letting the person know that you are sending a copy to someone else. (Also in emails - cc=Carbon Copy, BC=Blind Copy) |
| Attention Line | Part of the inside address; explains where to direct the letter. |
| Subject Line | After the salutation; explains what the letter is about. |
| Single Space | Hit enter ONE time. Leaves no blank spaces. |
| Double Space | Hit enter TWICE. Leaves one blank space. |
| Triple Space | Hit enter THREE times. Leaves two blank spaces. (not used in business letter format) |
| Quadruple Space | Hit enter FOUR times. Leaves three blank spaces. (used after the date and after the closing) |
